Summary. Ringkeeper provides a managed AI receptionist service. We process call audio, transcripts, and contact information on behalf of our business clients. We never sell personal information. We retain call recordings for 90 days by default. If you are a caller who interacted with a Ringkeeper-powered phone line and want your data deleted, email contact@ringkeeper.ai.

This policy applies to three groups:
For callers, Ringkeeper acts as a service provider (or "processor") on behalf of the business client. The business client is the primary controller of caller data. Ringkeeper acts as the controller for website-visitor data and business-client account data.
When a caller dials a phone number routed through a Ringkeeper-operated AI receptionist, we may collect:
We do not collect: credit card numbers, Social Security numbers, government identification numbers, or other sensitive financial or health information. If a caller volunteers such information, the AI is instructed to decline it and route the request to the business owner via secure means.

We do not sell personal information. We do not use caller data to train large language models for any purpose other than improving service for that caller's intended business client.
Washington State is a two-party consent state for recording. Every Ringkeeper-operated agent provides a recording disclosure in the opening greeting, typically: "This call may be recorded for quality."
If a caller does not consent to recording, they can disconnect the call or request a human callback. The business client is responsible for compliance with recording laws in any jurisdiction where their callers may be located.
We share information only with the following categories of recipients:
We do not sell personal information to advertisers or data brokers.
We use commercially reasonable administrative, technical, and physical safeguards to protect personal information, including encryption in transit (HTTPS/TLS), encryption at rest for recordings and transcripts, access controls limiting employee access to a need-to-know basis, and regular review of our vendor security practices. No system is perfectly secure; we cannot guarantee absolute security.
Our services are intended for businesses, not children. We do not knowingly collect personal information from anyone under the age of 16. If you believe a child has provided personal information to Ringkeeper, contact us at contact@ringkeeper.ai and we will delete it.

We will respond within 30 days. We may need to verify your identity before processing the request. If we cannot fulfill a request (for example, because we are required to retain certain records for legal reasons), we will explain why.
If you are a caller and want your call recording, transcript, and contact information deleted from Ringkeeper's systems, we will delete it within 30 days of verification. Note that the business you called may retain their own copies of the lead summary or notes, which is governed by their privacy policy, not ours.
If you are a resident of California, Virginia, Colorado, Connecticut, Utah, or another state with comprehensive privacy legislation, you have additional rights under your state's law. The rights in Section 10 apply. To exercise any state-specific right, email contact@ringkeeper.ai.
We do not engage in "sales" of personal information or in "sharing" for cross-context behavioral advertising as those terms are defined under the CCPA/CPRA.
Ringkeeper is based in the United States. If you access our services from outside the U.S., your information will be transferred to and processed in the U.S. We do not currently market to or serve customers in the European Economic Area or the United Kingdom.
Our website uses minimal cookies — only those strictly necessary to operate the site. We do not currently use advertising cookies, retargeting pixels, or third-party tracking. If we add analytics in the future, we will update this policy.
Our public website permits crawling by major AI search providers (including GPTBot, PerplexityBot, ClaudeBot, anthropic-ai, and Google-Extended) so that our public content can be cited in AI-generated answers. See robots.txt for the full list. AI crawlers do not have access to caller data, recordings, or transcripts.
We may update this policy from time to time. We will indicate the date of the most recent change at the top of the policy. For material changes, we will notify business clients by email at least 30 days before the change takes effect.
